Recurring quote lines and ConnectWise Sales Orders

Salesbuildr writes recurring quote lines as ConnectWise opportunity products, not Sales Orders. Convert the opportunity in ConnectWise Manage, and fix missing billing-cycle mapping, unsynced products, and a missing contract duration.

Salesbuildr does not create a ConnectWise Sales Order. Recurring quote lines become products on the linked ConnectWise opportunity. Someone on your team then converts that opportunity to a Sales Order inside ConnectWise Manage.

This article is for tenants connected to ConnectWise. HaloPSA uses a Create sales order button on the quote instead β€” see Fulfillment Tickets.

What Salesbuildr writes

ConnectWise does not receive a separate quote record for line items. When a quote syncs, each enabled line with a quantity becomes a billable product on the opportunity (the Products tab in ConnectWise Manage).

Quote lineWhat appears on the ConnectWise opportunity
Recurring (monthly, yearly, or another term)A product with recurring price and cost, the mapped billing cycle, a start date, and an end date
One-timeA product with unit price and cost (no recurring period)
BundleEach enabled component as its own product. The bundle row itself is not sent
Shipping (on the primary quote)A separate product when a shipping product is mapped. See ConnectWise Manage Setup

The recurring start date is the opportunity Expected close date. The end date is that start date plus the quote Contract duration, minus one day. ConnectWise uses those dates with the billing cycle to calculate how many times the line bills.

Quote sync runs when you Send or Mark as sent, when the quote is approved, when you edit and save the quote, or when you click Retry on the quote’s ConnectWise sync card.

Create the Sales Order in ConnectWise Manage

After the quote lines are on the opportunity:

  1. Open the opportunity in ConnectWise Manage (Finance β†’ Opportunities).
  2. Confirm the lines on the Products tab β€” price, quantity, and (for subscriptions) billing cycle and dates.
  3. Convert the opportunity to a Sales Order using ConnectWise’s own convert action. There is no Create sales order button on a ConnectWise quote in Salesbuildr.

The opportunity products are eligible to carry over onto that Sales Order. If a line is missing in ConnectWise, fix the sync in Salesbuildr first β€” converting will not create lines that never reached the opportunity.

This is not the same as:

Before a recurring line can sync

A recurring line needs all three of the following. If any one is missing, the line stays off the opportunity and will not be on a later Sales Order.

  1. The catalog product already exists in ConnectWise (it has been imported or pushed).
  2. The line’s billing term is mapped to a live ConnectWise billing cycle.
  3. The quote has a Contract duration.

Failed syncs appear on the quote’s ConnectWise sync card and under Settings β†’ Tools β†’ Issues. Open the issue, fix the cause below, then Retry.

Missing billing cycle mapping

What you see: The quote or product sync fails with a message that no ConnectWise billing cycle is mapped for the recurring term β€” for example β€œNo ConnectWise billing cycle is mapped for the recurring product term …” or β€œA recurring quote-line term has no mapped ConnectWise billing cycle, so the quote line can no longer be synced as a one-time item.”

Why: Each recurring term (monthly, yearly, three-year, and so on) must map to a billing cycle that still exists in ConnectWise. Salesbuildr will not send an unmapped recurring line as one-time. That used to happen silently and billed the customer on the wrong schedule.

How to fix:

  1. Go to Settings β†’ Integrations β†’ ConnectWise β†’ Categories.
  2. Open Map product terms, then Billing Cycles.
  3. Map the term on the failed line to a ConnectWise billing cycle. If a cycle was deleted or renamed in ConnectWise, pick one that still exists.
  4. Save.
  5. Open the quote (or Settings β†’ Tools β†’ Issues) and Retry the failed sync.

Map every recurring term your catalog uses β€” including distributor terms such as a three-year license β€” before you send quotes that use them.

Product not yet synced to ConnectWise

What you see: β€œThe product is not synchronized to ConnectWise.” When you send the quote, you may also see β€œThe product for item … has not been synchronized with connectwise yet” or β€œThe item … has not been synchronized with connectwise yet.”

Why: The opportunity product points at a ConnectWise catalog item. If that product has never been created or linked in ConnectWise, the quote line cannot be written.

How to fix:

  1. Open the product from the quote line.
  2. Confirm it is linked to ConnectWise (the ConnectWise icon on the product). If it is missing:
    • Assign an internal category and make sure that category is mapped under Settings β†’ Integrations β†’ ConnectWise β†’ Categories β†’ Map categories.
    • Click Synchronize to PSA on the product page. New products created in Salesbuildr are still sent to ConnectWise even when Synchronize to ConnectWise is off β€” that toggle only controls later edits to products that are already linked. See Importing Products.
    • Or import the catalog item: map its category, then click Synchronize products and services at the bottom of Settings β†’ Integrations β†’ ConnectWise β†’ Categories.
  3. If the product sync card shows an error, fix that error first (often an unmapped category or billing cycle), then Retry.
  4. Return to the quote and Retry the quote sync, or send the quote again.

If the message says the line is still synchronizing, wait and send again β€” the ConnectWise link appears after product sync finishes. If the line is in error, the sync card message is the one to fix; it is not enough to wait.

Missing contract duration on the quote

What you see: β€œThe quote contract duration is not set; recurring end date cannot be calculated.”

Why: Salesbuildr must send ConnectWise a recurring end date. That date is the opportunity Expected close date plus the quote Contract duration, minus one day. With no duration, the recurring line cannot sync.

How to fix:

  1. Open the quote and choose Manage Settings from the β‹― menu.
  2. Set Contract duration (months or years). Templates can supply a default; you can still change it on the quote. See Quote Editor and Quote Templates.
  3. Confirm the opportunity Expected close date β€” that is the recurring start in ConnectWise.
  4. Retry the quote sync from the ConnectWise card or Settings β†’ Tools β†’ Issues.

On a primary quote, the opportunity contract duration follows the quote. Set the duration on the quote, not only on the opportunity.
