Configure Autotask integration settings — sync, billing codes, data import, inventories, opportunity mapping, purchase orders, and webhooks.

Autotask Configuration

For initial Autotask connection setup, see the Autotask Setup Guide.

After initial setup, manage your Autotask integration at Admin > Integrations > Autotask. Seven configuration sub-pages are available.

Synchronize

Trigger a manual synchronization of entities, fields, and values. A full sync pulls companies, contacts, products, and field values from Autotask. A fields-only sync updates dropdown values (pipeline stages, payment terms, billing codes) without touching entity data.

Billing Codes

Map Salesbuildr categories to Autotask billing codes. Billing codes are required for categories that contain products, because Salesbuildr needs a billing code to create products in Autotask.

Data Import

Configure how companies and products are imported from Autotask. This page has two sub-tabs.

Company Import

  • Company Types — Bidirectional mapping between Autotask and Salesbuildr company types. Configure both directions: Autotask to Salesbuildr and Salesbuildr to Autotask.

  • User Defined Fields — Map Autotask UDF fields to Salesbuildr data points per company type. Note: multi-select UDFs are not supported by the Autotask API.

Product Import

  • Synchronize to Autotask — Toggle to push product updates back to Autotask (new products are always sent regardless)

  • Prepend internal product ID to product name — Adds the Autotask internal ID as a prefix when importing

  • Prepend MPN to service name / Import service name including MPN — Controls how manufacturer part numbers appear in imported service names

  • Enrich with Manufacturer Part Number — Enriches imported products with MPN data from Icecat, Onetrail, or DistributorHub

  • Default company type — Company type assigned to new manufacturers created during import

  • Roles table — Map Autotask labor roles to Salesbuildr categories, with import counts per role

  • Non-recurring products table — Map Autotask product categories to Salesbuildr categories, with per-category import

  • Recurring services table — Map Autotask services to Salesbuildr categories, with per-category import

Use the Import All Mapped Categories Products and Services button to trigger a bulk import of all mapped product and service categories.

Inventories

Configure inventory locations for stock tracking. Use the synchronize button to pull current inventory levels from Autotask.

Opportunity

Map Salesbuildr opportunity data points to Autotask User Defined Fields (UDFs). This allows opportunity data to flow bidirectionally between the two systems. Data points are grouped by data point group, and each field can only be mapped once to prevent duplicates.

Multi-select UDFs are not supported by the Autotask API.

Purchase Order

Configure post-sale ticket creation settings for approved quotes.

Webhooks

Manage Autotask webhook configuration for real-time entity change notifications.

  • Configuration tab — Table showing installed webhooks with name, URL, and status. Use the Install/update webhooks button to set up or refresh webhook endpoints, or Uninstall webhooks to remove them.

  • Report tab — View webhook delivery reports to monitor sync health and troubleshoot failed deliveries.
