CloudFactory
Connect CloudFactory as your Microsoft CSP distributor — browse the catalog, link products, match companies, and view subscriptions.

CloudFactory is a Microsoft Cloud Solution Provider (CSP) distributor. Once connected, your team can browse the CloudFactory catalog, link products into Salesbuildr with billing and commitment variants, match companies to CloudFactory customers, and review Microsoft subscriptions on the company page.
CloudFactory products appear as a CloudFactory tab on the Products page after the integration is connected.
How it works
Salesbuildr keeps a copy of your CloudFactory catalog, end customers, and Microsoft subscriptions.
- Catalog — Microsoft CSP products, CloudFactory repository products, and Adobe products
- Pricing — partner buy rate (your cost) and suggested retail price (RRP) per billing cycle and commitment term
- Companies — CloudFactory customers you match to Salesbuildr companies
- Subscriptions — Microsoft subscriptions for matched companies, shown on the company Contracts tab
You add CloudFactory products to quotes like any other catalog item. When you change quantity or variant, Salesbuildr uses the CloudFactory buy rate and RRP for the selected variant to calculate the sell price with your pricing settings and update the line cost. Placing a CloudFactory order from Salesbuildr is not available yet.
Setup
You need a dedicated CloudFactory service-account refresh token. The connection is not a one-click OAuth handoff — you sign in on CloudFactory, copy the token from the authorization response, and paste it into Salesbuildr.
- Go to Settings > Integrations > Manage and find the CloudFactory card. The card shows Not connected until setup is complete.
- Click Connect. The Connect CloudFactory dialog opens.
- Click Open CloudFactory login. A CloudFactory sign-in page opens in a new browser tab.
- Sign in. After authorization, CloudFactory shows a callback response that includes a
refresh_tokenvalue. - Copy that refresh token, paste it into the Refresh token field, and click Connect.
A success message confirms Connected successfully to CloudFactory. The card then shows Connected, with Verify and Disconnect instead of a generic Configure dialog.
Use a dedicated CloudFactory service account for this token. If the token is later revoked or becomes invalid, Salesbuildr cannot refresh the connection automatically — reconnect with a new token.
Verify the connection
On the CloudFactory card, click Verify. A Connection successful message means Salesbuildr can still reach CloudFactory with the stored credentials.
Disconnect
Click Disconnect and confirm. Confirmation warns that catalog sync and API access will stop for your account.
- If CloudFactory accepts the disconnect, the card returns to Not connected.
- If Salesbuildr disconnects locally but CloudFactory cannot revoke the service-account tokens, you see a warning that you can connect again with a new refresh token.
You must Disconnect before connecting again. Salesbuildr will not replace an active connection in place.
If the nightly connection check or catalog import fails repeatedly, tenant administrators receive a CloudFactory connection notification. Open Settings > Integrations > Manage, disconnect if needed, and connect again with a valid refresh token.
First catalog import
Connecting does not import the catalog immediately. Salesbuildr runs a daily sync overnight (around 2:30 AM) that:
- Imports Microsoft, repository, and Adobe products
- Imports CloudFactory customers so you can match them to companies
- Refreshes Microsoft subscriptions for companies you have already matched
- Updates prices on products you have already linked
Until that first import finishes, Products > CloudFactory can show No products, and company search will not find CloudFactory customers. If the tab is still empty the next business day, contact Salesbuildr support.
Salesbuildr also keeps the CloudFactory connection alive automatically (token refresh overnight). You do not need to paste a new refresh token on a schedule.
Browsing and linking products
Open Products > CloudFactory to browse the imported catalog. Each row shows the product name, catalog source, description, and SKU.
Use the filters to narrow the list:
- Linked / Unlinked — whether the product is already in your Salesbuildr catalog
- Priced / Unpriced — whether a buy rate and RRP are stored
- Catalog source —

Catalog sources
Prices
When prices are available, each product shows a table with:
- Billing cycle — how often the customer is charged (for example monthly or annual)
- Term duration — the commitment length
- Quantity range — the quantity band for that price row
- Buy rate — your partner cost
- RRP — the suggested retail price
CloudFactory does not use quantity-tier rate tables the way Pax8 sometimes does. A quantity change on a quote still refreshes the CloudFactory price for that variant; it does not step through volume breaks.
If a Microsoft product shows Prices absent, click Fetch product prices (or Refresh product prices when rows already exist). Repository and Adobe prices that CloudFactory did not include stay unpriced until a later daily sync includes them.
Prices use the currency CloudFactory sent. When no currency is provided, Salesbuildr displays EUR.
Linking a product
Click Link product. For Microsoft products, Salesbuildr fetches current prices first, then opens the link dialog.
In the dialog, choose:
- A category from your categories
- A manufacturer — or Supplier, when Autotask is connected and the product is a recurring service
- Which billing cycle / term duration variants your team should see (when more than one exists)
Then click Link. Salesbuildr creates a catalog product (or re-links a previously unlinked product with the same name and SKU) and adds a variant for each selected term. Recurring Microsoft items are created as services.
On Autotask tenants:
- Two-year and three-year periods are disabled and labelled Not supported by Autotask. Autotask only syncs monthly, yearly, quarterly, and one-time periods.
- You must select at least one Autotask-supported variant.
- For services, the Supplier field starts empty. Pick a company that is mapped as an Autotask vendor — your own MSP company is not prefilled.
If another catalog product already uses the same name:
- With a PSA connected — linking is blocked. Rename the existing product first so Autotask, ConnectWise, or HaloPSA will not receive a duplicate name.
- Without a PSA — Salesbuildr asks whether to continue.
If several unlinked catalog products match the same CloudFactory SKU or catalog name, rename or remove the duplicates before linking again.
A linked row shows a shortcut to the Salesbuildr product. Click Unlink product and confirm to remove the CloudFactory link and its variants. The Salesbuildr product itself stays in your catalog.
Company matching
Match a Salesbuildr company to its CloudFactory customer so subscriptions can load.
You can link from either place:
- Open the company → Manage Company → Integration → CloudFactory ID. Search by name, then click Link this company.
- On the company Contracts tab, expand CloudFactory. If the company is not matched yet, the same search and link control appears there.
After a match, the CloudFactory ID is stored on the company. You can remove it from Manage Company if you linked the wrong customer.
Company search uses customers imported by the daily sync. A brand-new CloudFactory customer will not appear until the next overnight import.
Contracts and subscriptions
On a matched company, open Contracts and expand the CloudFactory panel. The heading shows Contracts plus the CloudFactory customer ID.
The Contracts tab appears for CloudFactory when Autotask is also connected. If CloudFactory is your only contracts source and Autotask is not connected, the tab does not open from CloudFactory alone (Pax8, KPN / RoutIT, or the tenant contracts feature can still show the tab). You can still match the company from Manage Company.
Each subscription row can show:
- Start, end, created, and updated dates
- Product name and CloudFactory product ID, plus a link when that product is in your catalog
- Quantity
- Status (for example Active, Deleted, Suspended, Expired, Disabled, Pending)
- Price
- Billing term, commitment term, and whether auto-renew is enabled
Click the refresh icon to pull the latest subscriptions from CloudFactory. The first open uses a cached copy (up to 24 hours); refresh always requests a current list.
Deleted and Suspended subscriptions stay in the table. They are not hidden after cancellation.
The Price column can be blank. CloudFactory often omits a unit price on the subscription itself — especially for cancelled rows with quantity 0. That is expected. Catalog buy rate and RRP live on Products > CloudFactory, not on this contracts table.
If Microsoft returns no subscriptions, the panel shows No contracts found. If subscriptions fail to load, Salesbuildr shows an error toast.
Quotes
Add a linked CloudFactory product to a quote like any other catalog item. The line uses CloudFactory as the distributor.
When you change Quantity or variant, Salesbuildr can ask you to confirm Update quote item pricing. Confirming uses the CloudFactory buy rate and RRP for that variant to calculate the sell price with your pricing settings and update the line cost.
A strikethrough list price appears only when the CloudFactory RRP is higher than the sell price (a real list-versus-sell discount). If your markup puts sell at or above RRP, the line shows the sell amount only — a lower catalog RRP is not struck through.
You can still type a manual price, cost, or markup on the line. That skips the automatic CloudFactory reprice.
CloudFactory products are not ordered from Salesbuildr today. After the quote is approved, fulfill the subscription in CloudFactory (or your usual CSP process).
