Spreadsheet View for quote line items

Edit quote products in a spreadsheet-style table: inline cells, bulk actions, add products, and column order. Save named layouts that follow you to every quote. Spreadsheet View is rolling out.

Spreadsheet View is a table of every product line on a quote, laid out in the same order as the proposal. Use it when you want to change many quantities, prices, or names quickly β€” without opening each line in the quote editor one at a time.

It is the same quote and the same products. Spreadsheet View is a faster way to work the lines; the proposal your customer sees is still the quote editor layout.

What you can do

From Spreadsheet View you can:

  • See every line across product-table sections (and churn sections) in one table
  • See where text, images, summaries, and totals sit between those sections
  • Edit cells inline β€” name, description, quantity, price, cost, markup, term, and more
  • Add products from your catalog
  • Select many lines and Edit field…, Move to section, or Delete
  • Show, hide, and reorder columns, and save that layout under a name
  • Drag lines to reorder them within a section
  • Drag whole sections, and the text, image, summary and other rows between them, to rearrange the quote

Changes stay unsaved until you click Save. Line totals and quote totals then show Pending save until that save finishes.

Open Spreadsheet View

  1. Open a live quote in the quote editor (not a quote template).
  2. In the left panel, click Spreadsheet View (table icon) at the top, above the page outline.
  3. The grid fills the page, with the quote title at the top. Use the back arrow to return to the editor.

Spreadsheet View is only on live quotes. You will not see it on quote templates, print, or the customer-facing proposal.

Why you might not see Spreadsheet View yet

Spreadsheet View is rolling out and is off by default. If there is no Spreadsheet View button in the left panel:

  • It has not been enabled for your workspace yet β€” ask your Customer Success manager, or email support@salesbuildr.com.
  • You are in a quote template, not a quote.
  • The left panel is collapsed β€” open it with the sidenav toggle, then look at the top.

The grid layout

Each section is a product table from the quote (the same widgets you arrange in the editor). A section header shows its title, how many items it contains, and a lock icon if the section is locked. A product table with no lines still shows as a section, with No products in this section yet.

Everything else on the quote (text, media, images, HTML, summaries, leasing summaries, totals, and forms) appears around and between the sections, in the same order as on the proposal. Each of those widgets gets its own content line, with a little space between one widget and the next. The PDF follows the same order, but leaves out videos, PDFs, files, empty media widgets and anything hidden on the quote. Each line shows an icon and the widget type, named as in the quote editor (such as Full page image, Video or image, Custom form or HTML content), then what tells the widget apart:

  • Its title or first heading, in bold, followed by the first line of its text in grey. For example, a text widget can read Text, Scope of work, We install and configure your new laptops.
  • The first line of the text, when the widget has no title or heading.
  • A thumbnail for an image, for a media widget, and for a text that holds only a picture. A full page image is named by the text placed over it, and its thumbnail is a small portrait page β€” the same shape as on the proposal β€” showing the whole picture. A photo or a video still stays wide. A YouTube video shows a play badge. A Vimeo, Loom or uploaded video, some PDFs, or a file shows a media icon instead, with its kind in bold, such as Vimeo video or File. Videos, PDFs and files carry the note Online quote only, not in the PDF.
  • Image, no text or Empty when a text or HTML widget holds nothing else to show, and Empty for a media widget with nothing in it or a full page image with no picture and no text. Summaries, leasing summaries, totals and forms are never marked empty, because Salesbuildr fills in their tables and fields.

When a line has more to show than fits, such as a longer text or a picture, hover over it: a preview card opens next to the line, or above or below it when there is no room. You can move the pointer onto the card to read it. A full page image shows the whole page there, in the same portrait shape as its thumbnail, with its text where it sits on the page. Press Escape to close the card.

Content lines are read-only. You cannot select them, edit them, or drop products on them, and clicking a line does nothing. To change a widget, go back to the quote editor.

A section or content line that is hidden on the quote shows Hidden with a crossed-out eye icon. Only users who manage quotes see hidden sections and widgets.

  • Collapse or expand one section with the caret next to its title.
  • Collapse all sections, above the table on the right, hides every section's lines at once. Turn it off to expand them again. If some sections are collapsed and some are not, the switch sits in between; the next click collapses the rest.
  • A collapsed header shows how many items are in that section and the section total (for example one-time and monthly). That count is the products in the section. Add-ons and bundle items are not included. The lines and the section's totals row stay hidden until you expand it.
  • Collapsing does not count as an unsaved change. Every time you open Spreadsheet View, sections start expanded.
  • Selecting lines still includes products in collapsed sections. The bulk-action count includes those hidden lines.
  • The Name column stays pinned on the left as you scroll sideways.
  • A footer shows Quantity, Total, Discount (when the quote has one), and Grand Total.
  • Rows for add-ons and bundle items sit indented under their parent product.

The toolbar shows Product items and a product count, plus Add products, Columns, and Save. While you have unsaved work, a count of unsaved lines appears next to those buttons.

Rearrange sections

On a draft quote, if you can manage the quote, drag the handle at the left of a section header or a content line to move it. A section's products, add-ons and bundle items move with it. Locked sections can be moved too, as in the quote editor.

The new order is unsaved until you click Save, like every other change here. It then matches the proposal and the PDF.

If you have added products that need a new section, save them first; section dragging is paused until those sections exist. For the same reason, while a new section order is unsaved, products whose category has no section on the quote yet are not added β€” save the new order, then add them again.

Edit a cell

Click an editable cell (or press Enter or F2 when the cell is focused). Type the new value, then press Enter or Tab, or click away, to keep it. Press Escape to cancel.

You can edit the same fields you can edit on a line in the quote editor, including:

  • Name and description
  • Quantity
  • Cost, price, original price, and markup
  • Term
  • Special bid number
  • Setup price and setup cost

Some columns are display only, matching the line-item dialog: Discount, Tax %, Unit, Type, MPN, Category, Availability, Pricing book, and the calculated totals (Price total, Cost total, Margin, Profit). Changing quantity, cost, or price does not rewrite the line total on screen until you save β€” those cells show Pending save with an hourglass instead of a stale figure.

Quote managers can also change the Distributor on a draft line from the grid (a product-availability dialog), the same way they can in the editor. The confirmation suggests the selected distributor's feed cost. If the product has an explicit catalogue cost, sell price, or markup, a red warning explains that the product does not use dynamic pricing β€” Update cost and Update cost and sell price still apply those feed amounts to the quote line.

Edits follow the same permissions as the quote editor. After a quote is sent, you generally need to retract it before changing lines. If your role cannot see cost in the editor, Cost, Cost total, Markup, Margin, Profit, and Setup cost stay hidden here too.

To reorder lines, drag the handle at the left of a row. Add-ons and bundle items stay with their parent.

Add products

Use Add products in the toolbar, or the + on a section header.

  • The toolbar button opens the product picker and places each product in the section that matches its category (Salesbuildr can create a section if the quote does not have one yet).
  • A section + adds into that section.
  • You cannot add into a locked section, a choice-selection section (where the customer picks from options), or a churn section.

Added rows are staged. They appear in the grid immediately and are written to the quote only when you click Save. If the quote has no product section yet, the empty state invites you to add products the same way.

Select lines and use bulk actions

Tick the checkbox on a row to select it. A bar appears with the selected count and:

  • Edit field… β€” apply one field and value to every selected line
  • Move to section β€” move selected top-level products into another product-table section
  • Delete β€” remove the selected lines (you confirm first)
  • Deselect β€” clear the selection

Use the checkbox in the Name header to select every selectable top-level line on the quote, or the checkbox on a section header to select that section only.

Bulk changes are staged like cell edits. They apply when you Save. If some selected rows cannot take the action, Salesbuildr still applies it to the rest and tells you how many were skipped and why (for example a locked section, or a field that is not editable on that line).

How selection works with add-ons and bundles

Selection is for your bulk actions. It is not the customer's optional-item or choice-group tick on the proposal.

  • Selecting a parent product covers its add-ons and bundle items. You cannot also tick those children β€” they travel with the parent. The tooltip explains: add-ons and bundle items are selected with their line, not alongside it.
  • Selecting an add-on or bundle item on its own limits the selection to that parent's children. You cannot mix that selection with unrelated lines.
  • Move to section applies to top-level products only. Add-ons and bundle items move with their parent; they cannot change section by themselves.
  • Delete on a parent also removes the add-ons and bundle items under it. Required add-ons can be removed or edited only by a quote manager.

After a delete is staged, the rows hide. Use Restore deleted lines in the toolbar if you need them back before you save.

Choose which columns you see

Click Columns. The dialog title is followed by this helper: Only changes your own Spreadsheet View. Customers don't see this on the quote. Tick the fields you want, or use Select all / Deselect all, then Done. Press Esc or click outside the dialog to discard the change.

Drag a column by its handle in that dialog to change the order. Name stays first and has no handle. You can also drag another column by its header in the table: the whole header moves the column, and the pointer changes to a drag cursor. Name does not drag. Reordering product lines is still the drag handle on the row.

The layout is stored on your user for this workspace, and it applies to every quote you open in Spreadsheet View β€” including from another browser. The first time Salesbuildr has no saved layout for you, it copies the columns you had hidden in this browser once. After that, the saved layout is the one that loads.

Hiding columns does not change what your customer sees on the proposal, PDF, or print view, and it does not change what is sent to your PSA.

Columns you can show include name, description, type, quantity, discount, cost, price, original price, MSRP, tax %, margin, cost total, price total, markup, profit, MPN, supplier, distributor, category, availability, unit, term, pricing book, special bid, setup price, and setup cost. Cost, cost total, margin, markup, profit, and setup cost stay out of the dialog and the table when your role cannot see them. Markup or margin also stays out when that is not the profitability column your workspace uses.

Save a named layout

The toolbar button next to Columns is Layouts until you are using a saved layout. Then it shows that layout's name.

Open it to:

  • Switch to a layout you already saved
  • Save layout β€” name the columns and order you have now. The name cannot be empty or longer than 80 characters. You can keep up to 30 layouts.
  • Rename layout and Delete layout β€” only while a saved layout is active. Deleting a layout leaves the columns on screen as they are.
  • Reset to default β€” restore the original column order and show every column you are allowed to see. Saved layouts stay in the menu.

Changing the order or which columns are visible steps off the active layout. The button returns to Layouts. Save a new name, or pick the previous layout again, to go back. There is no separate action to overwrite the layout you were on.

Import from CSV or Excel

Importing a spreadsheet (CSV or Excel) into Spreadsheet View is coming soon. Today, add products with Add products, or use the catalog product import and special-bid import flows outside Spreadsheet View.

Save, and leaving with unsaved work

Click Save to write every staged add, edit, move, reorder, section move, and delete in one step. Until then, the quote in the editor still has the last saved lines.

If a save cannot complete, nothing from that save is applied β€” try again, or save fewer lines at once. Very large batches (especially deletes that include many add-ons and bundle items) may need to be saved in parts.

If you leave Spreadsheet View with unsaved work, Salesbuildr asks what to do:

  • Stay here β€” keep editing
  • Discard β€” drop the staged changes
  • Save β€” write them, then leave
