Activate Autotask product synchronization

What the dashboard tile means, how the Synchronize to Autotask toggle works, and what to expect after you change it.

The Activate Autotask product synchronization tile on the dashboard is a reminder to choose whether Salesbuildr should send product updates back to Autotask. It is not a second sync setting β€” it opens the same Synchronize to Autotask toggle you can also find in Autotask product import settings.

Autotask must already be connected. For the first connection, see Autotask Setup. For the rest of the Autotask settings, see Autotask Configuration.

The dashboard tile

Administrators see this tile under Finish actions on the dashboard after Autotask is connected, until someone turns Synchronize to Autotask on and saves.

The tile title is Activate Autotask product synchronization. It has no extra description. Click Configure to open Settings β†’ Integrations β†’ Autotask β†’ Data import β†’ Product Import.

The tile is a shortcut, not a switch of its own. Visiting the Product Import page does not clear it. It disappears only after you turn Synchronize to Autotask on and click Save.

If you do not see the tile, go to that Product Import page directly. The toggle is there even when the dashboard reminder is not. Turning the toggle off later does not bring the tile back.

The Synchronize to Autotask toggle

On Settings β†’ Integrations β†’ Autotask β†’ Data import β†’ Product Import, the first setting is Synchronize to Autotask. The on-screen hint is: Send product updates from Salesbuildr to Autotask (new products will always be sent to Autotask).

The toggle starts off. Changing it does nothing until you click Save.

SettingWhat Salesbuildr does
OffSalesbuildr does not push edits to products or services that already exist in Autotask. New products created in Salesbuildr are still sent to Autotask.
OnSalesbuildr also pushes later edits on already-linked products and services (name, description, listed status, and hardware pricing).

This setting does not control import from Autotask into Salesbuildr. Mapping categories and using Import All Mapped Categories Products and Services still pull Autotask catalog items the same way either way. See Importing Products.

New products versus updates

This is the distinction the toggle is easy to miss:

  • New Salesbuildr products that are not yet in Autotask are sent whether the toggle is on or off. Turning it off does not keep a new catalog product out of Autotask.
  • Updates to products that already have an Autotask link are sent only when the toggle is on. With it off, a later edit in Salesbuildr stays in Salesbuildr.

Labour (Autotask roles) is the exception: Salesbuildr can import roles, but it cannot create labour products in Autotask. Unlist a labour row you created in Salesbuildr and use an Autotask role instead.

For services that are already linked, Autotask stays the source of truth for catalog price, cost, billing code, and manufacturer details. Turning the toggle on does not overwrite those service fields in Autotask. Hardware product updates can include price and cost.

How to configure it

  1. Open Settings β†’ Integrations β†’ Autotask β†’ Data import β†’ Product Import, or click Configure on the dashboard tile.
  2. Map Autotask roles, non-recurring product categories, and recurring services to Salesbuildr categories. Unmapped items are skipped on import.
  3. Under Settings β†’ Integrations β†’ Autotask β†’ Billing Codes, map Salesbuildr categories (and a default billing code). Salesbuildr needs a billing code to create a hardware product in Autotask.
  4. Set Synchronize to Autotask:
    • Turn it on if Salesbuildr should keep already-linked products in step when you edit them here.
    • Leave it off if Autotask should stay the source of truth for existing catalog items, and you only want new Salesbuildr products created in Autotask.
  5. Click Save.

Use on when your team maintains names, descriptions, listed status, or hardware pricing in Salesbuildr and those changes should appear in Autotask. Use off when Autotask should keep existing catalog records as they are, and Salesbuildr should only create items that do not exist there yet.

What to expect after you change it

Saving the toggle does not re-send your whole catalog. Only later product changes are evaluated.

After you turn it on and save:

  • The dashboard tile disappears and does not return if you later turn the setting off.
  • The next time you edit an already-linked product or service in Salesbuildr, that update can be sent to Autotask (service catalog prices stay in Autotask).
  • Edits you made while the toggle was off are not sent automatically. Edit and save the product again, or use Synchronize to PSA on the product page, after the toggle is on.

After you turn it off and save:

  • Later edits to already-linked products stay in Salesbuildr.
  • New Salesbuildr products are still created in Autotask.
  • Synchronize to PSA on a product that already exists in Autotask does not update Autotask while the toggle is off.
  • Import from Autotask is unchanged.

If a create or update fails (missing category mapping, missing billing code, or Autotask rejecting the record), the product’s sync card shows the error. Admins can also retry from Settings β†’ Tools β†’ Issues. For Autotask-specific errors, see PSA Sync Issues.
