Autotask data in Whitespace

Which Autotask contract, service, and billing-code fields appear in Whitespace, which contracts are visible, and how companies and contacts show up.

Whitespace reads Recurring Service contracts from Autotask, plus their current services, service bundles, and recent product charges, then plots that coverage as a grid: customers as rows, billing codes as columns. This article is for Autotask tenants. For how to use the grid itself — filters, notes, campaign export — see Whitespace & Upsell.

Note: Whitespace requires the whitespace feature and the Whitespace viewer permission. Autotask must be connected under Settings > Integrations > Autotask.

Where the service-code columns come from

In Whitespace the column headers are called service codes. For Autotask they are billing codes, not contract types and not individual service names.

They come from Autotask Billing Codes whose use type is Recurring Contract Service Code. Each Autotask Service and Service Bundle is assigned one of those codes. That code’s name is what you see as a column, and as the Service code column in the Contracts dialog.

New billing codes from Autotask are added to the Columns list automatically. Stale ones drop off. Admins can drag columns into a shared order for everyone in the Reorder columns panel.

If two billing codes share the same name, Whitespace merges them into one column and shows a merge indicator.

Settings > Integrations > Autotask > Billing Codes (the page with a default billing code and per-category table) is used when sending products to Autotask. It does not create Whitespace columns.

How billing codes map to Salesbuildr categories

Map each Autotask billing code to a Salesbuildr product category so I want to sell can match your catalog products to the right column:

  1. Go to Settings > Integrations > Autotask > Data Import.

  2. Open the product import settings and find Map recurring services to Salesbuildr categories.

  3. For each Autotask billing code, choose a Salesbuildr category, or leave it Not mapped.

  4. Click Save.

A Salesbuildr product participates in I want to sell and upsell tiles when its primary category is mapped from an Autotask billing code on that table.

For service products, the product editor Admin tab also has Include in whitespace. When that is off, the imported service is left out of the matrix — green tiles, monthly revenue, and I want to sell — while remaining in the catalog.

Which contracts are visible

Salesbuildr imports Autotask contracts whose type is Recurring Service and whose end date is still in the future. The company on the contract must already exist in Salesbuildr (it must have synced from Autotask).

These Autotask contract types are not imported as the main contract set: Time & Materials, Fixed Price, Block Hours, Retainer, Per Ticket, and Umbrella.

A contract that has not reached its start date is not kept in Whitespace. If a card does appear before the start date, it shows IMPORTANT: This contract is not active yet.

On the Contracts dialog (green tile → revenue, or the info popover → the revenue amount) each contract card shows:

The dialog also offers Create Renewal Quote, Add to existing quote, Renew All, and Update. Update re-imports that company’s contracts from Autotask. A scheduled import also refreshes contracts during the day.

What syncs from each service and service bundle

Each Contract Service and Contract Service Bundle on an imported contract becomes a line on that card. Salesbuildr includes a line only while it is in its current window: the unit start date is today or earlier, and the unit end date is today or later.

Service bundles appear in a Service bundles section. They are shown on the contract even though Autotask service bundles are not imported into your Salesbuildr catalog.

If the service has not been imported, the name still appears with a warning icon (This service was not imported). Renewal quotes skip those lines.

Vendor (manufacturer) on the Autotask service is used on the Contract Items tab when you group by vendor. It is not shown on the tile itself.

What syncs from contract charges

Autotask Contract Charges that have a product and were purchased in the current calendar month appear in a Charges section on the card. Those charges can also light up a billing-code column on the grid.

Charges from earlier months are not kept. A Time & Materials or other non–Recurring Service contract can still appear when it has a qualifying charge this month — you will see the charge lines, not a full recurring-service list.

How companies appear

Each row is a Salesbuildr company, not an Autotask account by itself.

A company appears as a row when:

  • It already exists in Salesbuildr and is not deleted

  • Its company type is one you can quote (typically Customer — the types configured as quote recipients)

  • You are allowed to see it (if opportunity access is restricted, only companies assigned to you as account manager)

Companies without an imported Autotask contract still appear. Their tiles stay empty (blue when you are using I want to sell) until a matching service, bundle, or charge is imported.

Autotask accounts that have not synced, inactive Autotask companies, and types you mapped as manufacturers or vendors do not appear as customer rows. A manufacturer on an Autotask service is the vendor on the contract line, not the customer on the row.

Turn on Group companies by parent to show parent companies as rows and roll child-company coverage up to the parent. The contract card then also shows Company so you can see which child the contract belongs to.

Whitespace does not list individual people as rows or columns.

Contacts are skipped when they are inactive in Autotask, have no company, or belong to a company that is not in Salesbuildr.

The optional Users and Devices columns are counts, not a list of contacts or Autotask configuration items. They follow Settings > Platform > Miscellaneous → Users and devices calculation strategy. See Users & Devices.

What tiles and popovers show

Each cell is one customer × one Autotask billing code.

Green tile — the customer has at least one included service, service bundle, or charge on that billing code. The amount is monthly recurring revenue: each line’s price is divided by the period (monthly ÷ 1, quarterly ÷ 3, yearly ÷ 12). Semi-annual periods are treated as monthly, which can overstate those amounts.

The Monthly Revenue column on the left is the same calculation, summed across every billing code for that customer.

Red dot / Underbilling — the line’s unit price is below the Autotask list (catalog) unit price. The popover badge reads Underbilling (This category contains underbilled services).

Info popover (the i on the tile) shows:

  • Customer name and billing-code name

  • Monthly revenue for that column (click it to open Contracts)

  • Underbilling when it applies

  • An open quote in that category, if one exists

  • Create quote / Create opportunity when you are using I want to sell

  • Tile notes (Add note)

Contracts that match the column are marked Relevant in the Contracts dialog.

Blue / yellow tiles, Best upsell badges, and I want to sell are catalog-driven. They use the billing-code ↔ Salesbuildr category mapping above, not extra Autotask fields. See Whitespace & Upsell.

What does not appear

These Autotask records are skipped or unused in Whitespace:

  • Contract types other than Recurring Service, except when they have a product charge purchased this month

  • Contracts whose end date has passed, or that have not reached their start date

  • Service or bundle units outside their start–end window

  • Contract charges from earlier months, or charges with no product

  • Contracts whose company has not synced to Salesbuildr

  • Imported service products with Include in whitespace turned off

  • Autotask Configuration Items / Installed Products (they do not become Devices)

  • Individual contacts as rows — only the contract contact, the primary contact on export, and the company Contacts tab
