Reorder and edit many quote lines at once in the Line items grid

Drag rows in the Line items grid to reorder them, and select rows to delete them, move them to another section, or change one field across the whole selection — all applied when you save.

The Line items view of the quote editor shows every line on the quote as a spreadsheet-style grid. When a quote has grown to dozens or hundreds of lines, working through them one at a time is slow. Dragging rows lets you put the quote in the order your customer should read it, and selecting rows lets you delete, move or re-price many lines in a single step.

Line items is available once it has been enabled for your Salesbuildr environment. If you do not see it in the quote editor, ask your administrator whether it is switched on for your account.

Select the lines you want

Every row has a checkbox on the left of the Name column.

  • Tick individual rows to build up a selection.

  • Tick the checkbox in the header row to select every product line on the quote — including lines in sections you have collapsed, and lines further down than you have scrolled. It shows a dash when only part of the quote is selected.

  • A line and its add-ons or bundle items cannot be selected together. Tick a product line and everything beneath it greys out; tick an add-on instead and everything outside that add-on's own list greys out — including lines in other sections. Selecting an add-on means "I am working inside this line", so only its immediate siblings stay available.

  • Lines in a locked section cannot be selected. Their checkbox stays greyed out, because a locked section does not accept changes.

As soon as one line is selected, a bar appears at the bottom of the grid: a badge with how many lines you have picked, then Edit field, Move to section and Delete. The Deselect ✕ at the end clears the selection.

To change a value on a single line, you do not need any of this — click the cell and type.

Delete lines

  1. Select the lines you want to remove.

  2. Choose Delete in the bar.

  3. Confirm the message.

Any add-ons and bundle items underneath a deleted line are removed with it — that is why they cannot be selected alongside it, and the confirmation says so. To delete only an add-on, select the add-on rather than its line.

Required add-ons — the ones the product always carries — can only be removed by someone who can manage the quote. If you can edit line values but not manage the quote, they are left in place and the bar tells you how many were skipped.

The lines disappear from the grid straight away, but nothing is removed from the quote until you press Save. Until then a Restore deleted lines button sits in the toolbar; use it to bring every removed line back. Restoring does not undo any other edits you have made.

Move lines to another section

  1. Select the lines you want to move.

  2. Choose Move to section and pick the destination.

Only top-level product lines change section. Add-ons and bundle items always travel with the line they belong to, so selecting them individually has no effect on a move — the bar tells you how many were skipped for this reason.

Sections that are locked, and option groups where your customer picks between choices, are not offered as destinations. Moving a line into an option group would leave it unselected and it would stop counting towards the quote total.

To undo a move before saving, select the lines again and move them back to the section they came from.

Change one field on many lines

  1. Select the lines you want to change.

  2. Choose Edit field in the bar.

  3. Pick the field — for example Quantity, Cost, Price or Term — and enter the value.

  4. Choose Apply.

The value is written to every selected line that accepts it, exactly as if you had typed it into each cell yourself, including any recalculation of price or markup that follows. Prices and costs are entered in the same currency the grid shows them in.

The list offers the columns you can already edit by clicking a cell, so it changes with the columns you have chosen to show. Discount %, Tax % and Category are never in it: Salesbuildr derives those from the product, your pricing books and your tax settings rather than taking them per quote line. Name and Special bid are not offered either — a name belongs to its own line, and a special bid number is tied to the specific line it was quoted for. Both are still editable one cell at a time.

Amounts are read in the currency named next to the Value box: prices in the quote's currency, costs in your own. A percentage field is marked %.

Some lines may not accept a particular field — a line priced in the quote's currency derives its markup, for example. Those are skipped, and the bar reports how many.

The same permission that governs deleting a required add-on governs changing one: without permission to manage the quote its cells are read-only, whether you click one or reach it through a bulk edit, and the bar reports it as skipped.

Reorder lines by dragging

Each row has a grip on the left, next to its checkbox. Drag it to move the line.

  • Within a section, drop the line where you want it to sit.

  • Into another section, drop it at the position you want — you do not have to move it and then reorder it.

  • An add-on or a bundle item can only be reordered inside the line that owns it. Drag one and it will not leave its parent, because those pieces belong to the line above them. Add-ons and bundle items are also two separate lists, so an add-on cannot be dropped among bundle items.

A few sections do not accept a dropped line. Locked sections do not accept changes at all, and option groups — where your customer picks between choices — are not destinations, because a line dropped into one would arrive unpicked and stop counting towards the quote total. You can still reorder the lines already inside an option group.

Reordering top-level lines needs permission to manage the quote. If you can edit line values but not manage the quote, you can still reorder a line's add-ons and bundle items.

The grid shows the new order straight away, but the quote itself does not change until you press Save. Dragging a line and putting it back where it started leaves nothing to save.

Sorting by column has been removed. The grid now always shows lines in the order they will appear on the quote, because that is the order you are dragging them into.

Everything applies when you save

Selecting rows and running a bulk action does not change the quote on its own. The toolbar counts the lines you have unsaved changes on — a line you moved and then renamed counts once — and all of them, bulk actions and individual cell edits alike, are written when you press Save.

While those edits are still pending, an Unsaved changes pill sits in the page header. It disappears after a successful save, or after you discard the pending edits.

Leaving with unsaved changes

If you leave Spreadsheet View — Back to the document editor, another quote tab, or a different page — while the pill is visible, Salesbuildr asks what to do:

  • Stay here keeps you on the grid with your pending edits intact.

  • Discard throws those edits away and continues to the page you asked for. The grid shows the last saved quote the next time you open it.

  • Save writes the pending edits, then continues. If the save fails, you stay on the grid so nothing is lost.

Closing the browser tab or window with unsaved changes shows the browser's own leave warning instead of Stay / Discard / Save. Stay on the page if you still need to save.

A bulk action that does exactly what you asked says nothing: the rows moved, went away, or show the new value. If part of the selection could not be handled, a message tells you what was skipped and why, for example "12 items staged for deletion — 2 skipped in a locked section", so a partly-applicable selection never leaves you guessing.

If a save is too large

A save is applied in one go — either all of it or none of it — so there is a limit to how much one save can carry. If you have selected a very large number of lines, Salesbuildr tells you before sending and asks you to save in smaller steps. Deleting is the most demanding action, because add-ons and bundle items count towards the limit too, so you may need to delete in smaller batches than you can edit.

Keyboard and screen readers

  • Tab moves to the checkboxes and to the actions in the bar.

  • Space ticks and unticks the focused checkbox.

  • The result of every bulk action is announced to screen readers.

  • Reordering is currently mouse-only — there is no keyboard equivalent for dragging a row yet. Use Move to section to relocate a line without a mouse.
