Autotask file size limit
Salesbuildr uploads quote PDFs of up to 6 MB as files in Autotask. Larger files are sent as a download link so the transfer does not fail.

When a quote is approved, Salesbuildr sends the approved quote PDF β and any PDF files attached to that quote β to Autotask. This article explains the size limit for that transfer and what you see in Autotask if a file is larger.
This limit applies only to files Salesbuildr sends into Autotask. It is separate from the 50 MB limit when you upload a file into Salesbuildr, and from attachment size limits on approval emails.
The limit
Salesbuildr can upload a file of up to 6 MB into Autotask as a normal file attachment.
That 6 MB cutoff is per file. A quote PDF and each extra PDF on the quote are checked separately.
Only PDF files are uploaded as files. Other attachment types on the quote are not stored as Autotask files. If an extra attachment is a web link, Autotask receives that link instead.
What happens if a file is larger than 6 MB
The transfer does not fail, and the quote does not stop syncing.
Instead of embedding the file in Autotask, Salesbuildr attaches a download link on the same Autotask note. Anyone with access to that note can open the link to download the PDF from Salesbuildr.
You do not get an error toast in Salesbuildr for size alone. A file that is too large for Autotask to store as a file still arrives β as a link.
Where the file appears in Autotask
Look on the Autotask opportunity that is linked to the quote. Salesbuildr adds the PDF (or the download link) to the quoteβs company note on that opportunity.
The attachment title starts with the quote number, for example Quote 1234: Quote 1234 PDF. Extra PDFs from the quote use the attachment title you set in Salesbuildr, still prefixed with the quote number.
When Salesbuildr sends the file
Salesbuildr sends these files when the quote is approved (the customer accepts the proposal, or you mark the quote as ordered). Sending the quote to the customer does not by itself upload the PDF into Autotask.
The quote and its line items still sync to Autotask when you send or update the quote. The PDF attachment is the approval step.
Creating a post-sale ticket is a different path: Autotask receives a Quote Link on the ticket that opens the quote in Salesbuildr. That ticket attachment is always a link, not the PDF file. See Autotask Configuration for post-sale ticket settings.
If you need the file stored inside Autotask
If your team needs a native Autotask file rather than a link:
- Reduce the quote PDF below 6 MB before the quote is approved β for example by using fewer or smaller images on the proposal.
- Or download the PDF from Salesbuildr and attach it to the Autotask opportunity yourself.
You cannot change this 6 MB cutoff in Settings. It is the same for every Autotask-connected account.
If nothing appears in Autotask
Size over 6 MB is not the cause of a missing attachment β those files still arrive as links.
If you see neither a file nor a link after approval:
- Confirm the quote is approved and linked to an Autotask opportunity.
- Open Settings > Tools > Issues and look for a failed Autotask sync on that quote. Use Retry after you fix any listed error.
- If the issue persists, contact Salesbuildr support.
For other Autotask sync errors, see PSA Sync Issues.
