Editing an opportunity

When you select an opportunity, you'll see the opportunity details and related quotes. If your PSA is connected, you can click the PSA icon next to the opportunity name and company to open the details directly in your PSA.

The detail page shows the opportunity summary on the left (name, company, status, pipeline stage, owner, expected close date), the owner and contact cards, and the quotes table and notes section on the right.

Editing an opportunity lets you change:

  1. Title (max 128 characters for Autotask sync)

  2. Description

  3. Company (locked after a quote is sent)

  4. Contact (locked after a quote is sent)

  5. Contract duration (number of months to calculate total order value; disabled when a primary quote exists)

  6. Start date

  7. Owner

  8. Probability

  9. Expected close date

  10. Category (required for Autotask and HaloPSA)

  11. Source

  12. Pipeline stage

  13. Use Revenue/Cost of quoted items (Default, Enable, or Disable)

  14. One-time revenue (auto-calculated when Use Revenue/Cost of quoted items is enabled)

  15. Monthly revenue (auto-calculated when Use Revenue/Cost of quoted items is enabled)

  16. Expected monthly churn

  17. Line of Business (shown when applicable)

  18. Opportunity Team (HaloPSA only)

  19. Opportunity Type (HaloPSA only)

  20. Custom data points (if configured by your admin)

The default values are based on what is configured in the default opportunity settings (see below).

Note: You can only edit opportunities with status Active or Not ready to buy.

Adding notes to an opportunity

You can add notes to opportunities. Notes are synchronized to your PSA as follows:

Notes trigger a full opportunity re-synchronization to ConnectWise

HaloPSA

Notes are not synced to Halo. However, quote actions (sent, approved, declined) are recorded as Halo opportunity actions

Setting a primary quote

The blue star indicates the primary quote for an opportunity. Click the star next to any quote to make it primary.

The primary quote determines:

  • Revenue calculations: When "Use Revenue/Cost of quoted items" is enabled, the opportunity's revenue is derived from the primary quote

  • Auto-stage updates: Only the primary quote triggers automatic opportunity stage and status updates (if configured)

  • Contract duration: When a primary quote exists, the contract duration field on the opportunity is disabled and uses the quote's value instead

Losing an opportunity

As long as no underlying quote has been approved, you can use the Lose opportunity button to mark the opportunity as lost. The dialog requires:

Final revenue amount (disabled when "Use Revenue/Cost of quoted items" is active)

Loss date

When the opportunity was lost (defaults to today, required)

Loss reason

Select from admin-configured loss reasons (required)

Loss reason details

Free-text for additional context (optional)

When you lose an opportunity:

  • Draft quotes are deleted

  • Sent and other active quotes are declined with the reason "Opportunity lost"

  • Approved quotes are not affected

  • Already-declined quotes are not affected

If a default "lost" pipeline stage is configured in Admin > Opportunities, the opportunity's pipeline stage is also updated automatically.

Deleting an opportunity

Before you can delete an opportunity in Salesbuildr, you must first delete any associated quotes. Only the opportunity owner or an administrator can delete an opportunity.

The opportunity is also deleted in Halo

Autotask

The opportunity is marked as inactive in Autotask (Autotask's API does not support deletion)

ConnectWise

The opportunity is not removed from ConnectWise (their API does not support deletion)

Tip: Deleted opportunities can be restored by the opportunity owner or an administrator.

Opportunity statuses

Opportunities can have one of five statuses:

Status

Description

Active

The opportunity is being actively pursued

Not ready to buy

The prospect is not yet ready to make a purchase

Lost

The opportunity was lost (requires a loss reason)

Closed

The opportunity has been closed/won

Implemented

The opportunity has been fully implemented
